After Arrival – Procedure for Incoming Students

  1. Contact the Faculty Erasmus+ Coordinator – upon your arrival, please visit Dr Łukasz Łabieniec (room 1059, left wing of the Faculty of Physics building) and introduce yourself.
  2. Attend the Welcome Meeting – an introductory meeting for all incoming students will be organised at the beginning of each semester. The coordinator will inform you of the exact date and time. During the meeting, the following matters will be addressed:
    • how to obtain your student ID card, university e-mail address, and access to the USOSweb system,
    • confirmation of your course selection and finalisation of your timetable,
    • changes to the Learning Agreement – if any changes to your agreed study programme are necessary (e.g. timetable conflicts or course cancellations), you must notify the Faculty Coordinator as soon as possible. According to Erasmus+ regulations, changes may be initiated within 5 weeks after the start of the semester and must be agreed by all parties within 2 weeks of the request being made. A revised Learning Agreement (During Mobility) signed by all parties – student, Faculty Coordinator, and home university coordinator – is required.
    • further administrative formalities regarding your stay at the Faculty.
  3. Transcript of Records – after successfully completing all your courses, please contact Dr Łukasz Łabieniec to obtain your Transcript of Records.

 

Who to contact?

International Cooperation Office handles all administrative matters for incoming Erasmus+ students: registration, documents, dormitory applications, and coordination with ESN. Address: Świerkowa 20B, ground floor, left wing, room 11, 15-328 Białystok.

Dr Łukasz Łabieniec (room 1059, left wing of the Faculty of Physics building) handles academic matters: course selection, Learning Agreement, faculty-specific questions, and the issuance of the Transcript of Records at the end of your mobility.

Mgr Urszula Guzowska – please contact her regarding your student ID card, university e-mail address, access to the USOSweb system, and any issues with the timetable (e.g. a course displayed incorrectly or not displayed at all). Room 2019, first floor, Faculty of Physics building, right wing, at the far end of the corridor on the left.
